CRM means memory with a next action.
Customer relationship management software should answer two questions immediately: what has happened with this customer and what should happen next? For a mobile detailer, that requires more than contact details because the same customer may own multiple vehicles, buy different packages, use different service locations, and return on different maintenance cycles.
A scheduler can reserve time. An invoicing app can collect money. A CRM connects the conversation before the job with the history after it. An all-in-one system combines those roles; a small stack can also work if information moves between tools without repeated typing.
If a customer name, vehicle, address, package, and price must be copied from a form to a calendar and then copied again to an invoice, the business has apps—but not a connected CRM workflow.
DATA MODEL
Keep three records connected.
Name, mobile number, email, communication consent, preferred contact method, referral source, service history, and private internal notes.
Year, make, model, size class, color, condition notes, recurring concerns, coating history, photos, and services previously performed.
Location, package, add-ons, estimate version, approval, deposit, appointment window, assigned technician, completion evidence, invoice, and follow-up date.
The relationship matters. One customer can have several vehicles; one vehicle can have many jobs; and every job should preserve the estimate and condition information that applied at that moment. Avoid systems that force all vehicle details into a single customer-notes box.
CORE REQUIREMENTS

Fast lead capture
Collect service area, vehicle size, condition, requested service, and contact permission before building an estimate. The form should be usable from a phone.
Separate vehicle records
Store multiple cars under one customer while preserving each vehicle’s package history, photos, notes, and maintenance timing.
Package estimates
Build good/better/best options with vehicle-size rules and condition-based add-ons. The approved version should remain attached to the job.
Digital approval
Capture what the customer accepted, when they accepted it, and any cancellation or service terms attached to the approval.
Calendar connection
Convert an approved estimate into a scheduled job without retyping customer, address, vehicle, scope, price, or notes.
Photo documentation
Attach pre-service condition and after-service photos to the correct vehicle and job with a usable timestamp and retrieval path.
Payment status
See deposit, remaining balance, invoice delivery, payment, refund, and failed-payment state from the job record.
Neutral review request
Trigger a consistent post-job request without selectively asking only customers believed to be satisfied. Keep complaint handling separate from review eligibility.
Maintenance follow-up
Set the next useful action by service type: maintenance wash, interior refresh, coating inspection, or seasonal protection.
Export and permissions
Export customers and jobs in a usable format. When staff are added, restrict access to sensitive business and payment information.

Six stages are enough to start.

Do not create twenty stages to make the dashboard look sophisticated. Add a stage only when it changes the next action, responsible person, or customer communication.

Use sample customers before importing a real list. Do not upload private customer documents merely to make a trial feel realistic. A useful test can be completed with invented contact data and non-sensitive vehicle examples.
